Admin Guide - Server - Sprint Capacity Planning & Tracking

This guide is designed to help Jira administrators to install Sprint Capacity Planning & Tracking app.

Installation

First thing, one needs to install the Sprint Capacity Planning & Tracking app -

  1. Log in Jira with Jira Administrator permissions.

  2. Go to Jira AdministrationManage appsFind new apps.

  3. Type "Sprint Capacity Planning & Tracking" and click on the magnifying glass to bring up the app.

  4. Click Buy now, and confirm the installation.

  5. You are ready to go, remember to notify your users.

Configuration

There are few configurations items a Jira administrator is required to perform in order to get Sprint Capacity Planning & Tracking ready for work.
These are to set Roles, Global Teams and to define the field that will be used for Story Points.

To perform the configuration, with a Jira Administrator permissions:

  • Go to Jira AdministrationManage appsManage apps.

  • Search for “Sprint Capacity Planning & Tracking”, expand it and click ‘Configure’, OR find on links column the “Sprint Capacity Planning” section.

  • There are three configuration options: Roles, Teams and Configuration.

Roles

Roles are used for different statistics based on different roles in the team. These are logical roles to which team member are later associated within each team.
For example, Developer. To manage Roles:

  • Under the “Sprint Capacity Planning” section click ‘Roles’.

  • Add new role name in the Roles field, OR, Remove a redundant role from the list.
    Note that roles are labels, so no spaces are allowed within a role name.

  • The order of roles in field defines the way they are listed when a team member is to be assigned a role.
    First role in in the field will be shown on top of the list (and also be the default role), and last one will be the last in the list.

     

Global Teams

Teams are used for planning and tracking work. To enable this, teams group resources (team members) with their daily commitment and their assigned roles.
For example, team Cloud may group 4 resources (team members), each with 8 hours daily commitment (capacity) where two resources are assigned the role of Developer, one the role of QA and the last the role of Design.
There are two kinds of teams - Global Teams (set by an administrator and can be used multiple times in multiple projects and boards), and Board Teams (specific to a Board).

To manage Global Teams:

  • Under the “Sprint Capacity Planning” section click ‘Teams’.

  • To create a new Global Team -

    • Click ‘New Team’ → ‘Create’.

    • In the dialog enter a name for the new Global Team.

    • Click ‘Add’.

  • To update an existing (or a newly created) Global Team -

    • From the Global Teams list, expand a team.

    • Add (Add person) or Remove (trash can icon) resources to/from the team.

    • Set daily commitment per resource.

    • Set Role per resource.

 

Story Points field

Like with Jira Boards, Sprint Capacity Planning & Tracking for a sprint can be based on Story Points, rather than time estimation.
When this is the case, it is important that the correct field where Story Points are managed for all is configured for the app so that planning and tracking calculations are correct.
This is set by the administrator. To set the Story Points field used:

  • Under the “Sprint Capacity Planning” section click ‘Configuration’

  • In the drop-down select the numbers field to be used for Story Points in Sprint Capacity Planning & Tracking.
